How We Handle Your Data

The Short Version

We collect the minimum data needed to run our products. We don't sell your data. We don't share it with advertisers. We use it to provide the service you signed up for.

Who We Are

Polynym is a UK-based software company. We build and operate PropertyScribe, DailyExtract, BugFeed, and StackPod. This policy covers the polynym.co website and all our products.

What We Collect

When you visit our website

  • Analytics data: Pages visited, time on site, referrer. We use Google Analytics. You can opt out using browser extensions or by blocking cookies.

When you contact us

  • Contact form submissions: Name, email, message content. Used only to respond to your enquiry.

When you use our products

  • Account information: Email address, name, company name (if provided).
  • Payment information: Handled by Stripe. We never see or store your card details.
  • Usage data: Features used, content created. Specific to each product.

Product-Specific Data

PropertyScribe

We process property details you enter to generate descriptions. This data is sent to AI providers (OpenAI) for processing. We don't store property data after generation unless you save it to your account.

DailyExtract

We access Slack messages in channels you connect. Messages are processed to create digests, then deleted. We don't store message content long-term. Digests are stored for 30 days.

BugFeed (Launching 2026)

BugFeed will collect bug reports, screenshots, and user feedback you submit. Reports are linked to your codebase commits. We store report data for the lifetime of your account. You can export or delete reports at any time.

StackPod (Coming Soon)

StackPod is a local CLI tool. It runs entirely on your machine and doesn't send data to our servers unless you explicitly use cloud sync features. Usage analytics are opt-in only.

How We Use Your Data

  • To provide the service you signed up for
  • To send transactional emails (receipts, password resets)
  • To respond to support requests
  • To improve our products based on usage patterns

We don't send marketing emails unless you explicitly opt in. We don't sell or rent your data to anyone.

Who Has Access

Data Retention

  • Account data: Kept while your account is active. Deleted within 30 days of account closure.
  • Analytics: Aggregated, anonymised. Kept indefinitely.
  • Support emails: Kept for 2 years for reference.
  • Payment records: Kept for 7 years (UK tax law).

Your Rights (UK GDPR)

You have the right to:

  • Access your data (we'll send you a copy)
  • Correct inaccurate data
  • Delete your data (with exceptions for legal requirements)
  • Export your data in a portable format
  • Object to processing
  • Withdraw consent

Cookies

We use cookies for:

  • Essential: Keeping you logged in, remembering preferences.
  • Analytics: Google Analytics cookies to understand how people use the site.

We don't use advertising cookies or tracking pixels. You can block cookies in your browser settings.

Security

Data is encrypted in transit (HTTPS) and at rest. We use secure, reputable infrastructure providers. We don't store passwords in plain text. We conduct regular security reviews.

If we discover a breach affecting your data, we'll notify you within 72 hours.

Children

Our products are not designed for children under 16. We don't knowingly collect data from children.

Changes

We'll update this page if our practices change. For significant changes, we'll email registered users.
