1. Introduction

Polynym is the AI architecture practice of Tyrone May, based in the United Kingdom. This Privacy Policy explains how Polynym collects, uses, and safeguards your information when you visit polynym.co or engage Polynym for services.

2. Information Polynym Collects

Polynym only collects information you actively provide, plus minimal technical data needed to operate the website:

  • Contact form submissions: name, company, email, the services you're interested in, your budget range, and the project details you choose to share.
  • Newsletter sign-ups: the email address you provide when subscribing to The SME AI Briefing.
  • Chat tool messages: the messages you send to the on-site chat assistant or AI quote builder. These are processed via a third-party LLM provider to generate a response and are not retained for training.
  • Technical data: IP address, browser type, operating system, referring page, and pages viewed. Used for security, debugging, and aggregate analytics only.

3. How Polynym Uses Your Information

The information you provide is used only for the purpose you provided it for:

  • Responding to your enquiry or scoping conversation.
  • Delivering the newsletter and the lead magnet (2026 AI Readiness Checklist).
  • Sending you the welcome email after sign-up.
  • Generating responses inside the on-site chat tools.
  • Operating, securing, and improving the website.

Your data is not sold, rented, or shared with any third party for marketing purposes. It is not used to train public AI models.

4. Lawful Basis (UK GDPR)

Polynym processes your personal data on the following lawful bases under the UK GDPR:

  • Consent: for newsletter sign-ups and optional cookies. You can withdraw consent at any time.
  • Legitimate interest: for responding to enquiries, basic analytics, and securing the website.
  • Contract: for delivering services to engaged clients.

5. Third-Party Service Providers

Polynym uses a small set of trusted third parties to operate the website. Each is bound by their own privacy terms and only receives the minimum data needed:

  • Resend for transactional and newsletter email.
  • The LLM provider powering the on-site chat (Google Gemini, OpenAI, or similar, depending on configuration). Chat messages are processed in transit and not retained for training.
  • Hosting and CDN providers for delivering the website.

6. Cookies

The website uses cookies for essential functionality and, with your consent, for analytics. See the Cookie Policy for details.

7. Data Retention

Contact and enquiry data is retained for as long as needed to respond to you and for a reasonable period afterwards in case of follow-up. Newsletter subscribers can unsubscribe at any time, after which their email is removed from the active list.

8. Your Rights

Under UK GDPR you have the right to access, correct, delete, or export the personal data Polynym holds about you, and to object to or restrict its processing. To exercise any of these rights, email contact@polynym.co and a response will follow within 30 days.

9. Contact

Questions about this Privacy Policy or how Polynym handles your data can be sent to contact@polynym.co.
